BSC AGM Goes Online

The Covid-19 crisis has impacted all our lives and for the club that has included the necessary postponement of our Annual General Meeting, which was to have taken place on Easter Monday 13 April.

The holding of the AGM is an important annual event for the club at which your officers are able to share information about activities over the past year and plans for the future, as well as being the forum in which we can review and vote in regard to the club's annual accounts, rule changes and motions put forward by members or committees, and the appointment of Club Officers and the General Committee Members.

Based on the latest Government and RYA advice it is now clear that it may not be possible to reschedule a face to face AGM within the timeframe required by the club rules. Following careful consideration, the General Committee has decided that the 2020 Brightlingsea Sailing Club AGM will therefore be held using an online presentation of the Agenda items and an online voting form. (For the small number of members who do not have internet access a postal Agenda and Voting Form will be provided.)

How The 2020 BSC Online AGM Will Work

The Final Agenda for the AGM including all accompanying reports, the club accounts and nominations will be published to the website and circulated to the membership by email on Monday 20 April.

Members will have the opportunity to ask questions relating to the papers until noon on Sunday 26 April. All questions should be directed via President Fiona Brown on president@sailbrightlingsea.com who will effectively Chair the online meeting. Fiona will log your enquiry and relay it to the relevant officer for response.

A summary of the questions and the responses will be published as an addendum to the Agenda by no later than Friday 1 May so that they can be viewed by all participating members in the same way that questions and answers would be audible to all present at the meeting.

At midday on Monday 4 May online voting will open with details of how to vote published to the website and circulated to the membership by email. Please note that in line with the club rules, only members who have paid their 2020 subscriptions and are full club members within the following categories will be entitled to vote - Adult Individual, Adult Couple, Adult (in full time education), Senior, Senior Couple, Honorary Life and Special Life.

Online voting will close at midnight on Friday 8 May and votes will be counted and checked over the weekend of 9 and 10 May. The final results of the vote will be published to the membership via the website and email circulation as soon as possible during the week commencing Monday 11 May.

The announcement of the results will be accompanied by a statement from the incoming Commodore, in replacement for the address the incoming Commodore would normally make to the AGM immediately following his appointment.

The online AGM will be coordinated by BSC President Fiona Brown, who would under other circumstances have chaired the relevant parts of the meeting. BSC Trustee and Accounts Inspector Alan Hicks will act as the returning officer.
